How to Plan a Card-Writing Party: A Fun Night in That Gives Back

Looking for a fun, creative way to spend time with friends while also giving back? A card-writing party is the perfect blend of a cozy craft night and a meaningful volunteer activity.

It’s a relaxed, creative gathering where friends come together to write heartfelt notes and letters, turning a simple night in into something that truly makes a difference. Through volunteering with Soldiers’ Angels, these messages are shared with Service Members and Veterans who may be deployed, recovering, or simply in need of encouragement.

Whether you’re planning a casual evening with a few friends or hosting a larger group, here’s how to make your gathering both memorable and impactful.

Step 1: Set the Scene for a Cozy Craft Night

Transform your space into a cozy, welcoming space that invites guests to relax, get creative, and enjoy the evening together.

Ideas to create the perfect atmosphere:

  • Soft lighting, like string lights or small lamps, for a warm ambiance
  • Comfortable seating and a shared table for crafting
  • Encourage comfy clothes or even a themed night (like pajama night)
  • Offer snacks and drinks to keep everyone comfortable and energized, bonus points if they match your theme
  • A fun playlist (Something not too distracting but still enjoyable for those moments of focus)

Creating a welcoming atmosphere helps your guests relax, connect, and enjoy the experience.

Step 2: Gather Your Supplies

You don’t need anything fancy to host a successful card-writing party. A little creativity goes a long way.

Essentials:

  • Pens and markers
  • Blank cards, cardstock, and writing paper
  • Stamps and envelopes

Fun Add-Ons:

  • Washi tape (different patterns and colors)
  • Loose stickers or themed sticker packs
  • Decorative paper
  • Stamps and ink pads

Helpful tip: A Lazy Susan works great for shared supplies, allowing guests to easily spin and reach markers, stickers, and other materials throughout the night.

Encourage guests to bring any extra scrapbooking or journaling supplies they may have to share. This keeps costs low while adding a fun mix of styles to the table. Remember, what matters most is the message inside each card.

Step 3: Provide Writing Prompts

Not everyone will know what to say, and that’s okay. Having prompts can help get ideas flowing and help guests feel comfortable.

Example prompts:

  • Write about a recent positive experience in your life, offering it as a message of encouragement
  • Share a message of encouragement
  • Write about your appreciation and what their service means to you
  • Imagine what you would want to hear from someone when far from
  • Share a favorite quote, uplifting thought, or simple message of kindness

Remind guests to keep messages positive, encouraging, and respectful. A few kind words can mean more than they may realize. For more tips, read How to Write Your First Letter.

A Few Things to Remember

At the beginning of your event, take a moment to explain how the cards will be used. Keep the atmosphere light and joyful while you work; this is just as much about connection as it is about giving back. Encourage conversation throughout the night, share stories, and take photos to capture the memories. That balance of fun and purpose is what makes the experience so meaningful.

Additionally, at the end of the night, collect and organize the cards. Make sure they follow any guidelines provided by Soldiers’ Angels (such as avoiding glitter). Then, bundle them up and mail them off; your group effort is now ready to brighten someone’s day.
